Digital Specialist — User Guide

Download & Register

Get up and running in just a few minutes. Digital Specialist is available as an Android app and a web app.

1. Download the Android app from Google Play or open the web app at app.ds-app.biz.
2. Register with your phone number — you'll receive an SMS code to verify.

Your Company

A company is created automatically when you register — you can start working right away. The only manual alternative is to join an existing company via an invitation from a teammate or manager.

3. Want to work with an existing team instead? Join their company by accepting an invitation link from your teammate or manager.

Your First Project & Task

Once your company is set up, create your first project and task to start managing work.

4. Create your first project — tap + on the Projects screen.
5. Add your first task — tap + on the Kanban board or long-tap on the map.

Dashboard

View task statistics and analytics charts for your assigned work. The dashboard gives you a quick overview of task counts by status and priority.

Contacts

See your company teammates and reach them quickly. Set up your preferred messenger (Telegram, WhatsApp, or Viber) in Settings so teammates can contact you directly from the Contacts screen.

Availability Status

• See teammates' availability (online, away, do not disturb) and status in Contacts and Chat.
• Set your status in Settings → Profile — pick a suggested one like 👷 On site, 🚗 Driving, or 🍽 Lunch break. Available on all plans.
• Custom statuses (your own emoji and text), notification snooze, and working hours require Silver or higher.

Voice & Video Calls

• Start a 1-1 call with any teammate directly from the Contacts screen.
• Audio calls are available on all plans.
• Video calls require a Silver subscription or higher.
• Screen sharing during a call requires a Gold subscription.

Chat

Message teammates directly within the app. No need to switch to an external messenger.

Direct Messages

• Start a 1-1 conversation with any teammate from the Contacts screen.
• Send text messages, reply to specific messages in threads, and @mention colleagues.
• Attach photos, documents, and voice messages.
• React to messages with emoji.
• Edit or delete your own messages.
• Pin important messages to the top of the conversation.
• Search messages within a conversation or across all your chats.
• Mute conversations to silence notifications.

Task Conversations

• Every task can have a group conversation — open it from the task detail screen.
• Participants are automatically synced with the task's assignee and owner.
• Discuss task details, share updates, and coordinate work without leaving the task context.

Mira (AI Assistant)

• Each user gets a conversation with Mira, the built-in AI assistant.
• Ask Mira questions about your tasks, projects, and team — she uses the same tools as AI agents.

Projects

Create and manage projects to organize your work. Each project groups related tasks together.

• View project statistics and filter tasks by project.
• Archive completed projects and restore them when needed.
• Projects can be public (visible to all company members) or private (visible only to project members).
• Admins and Managers see all projects, including private ones.

Tasks

Tasks are the heart of Digital Specialist. Create, assign, and track work across your team.

• Kanban board with drag-and-drop between columns: ToDo, InProgress, Done.
• Set task priority: Low, Medium, High, or Critical.
• Attach photos and documents to any task.
• Add comments with reactions, replies, and @mentions.
• Use Markdown in task descriptions for formatting.
• Search and filter tasks by status, priority, assignee, or project.
• Share tasks with teammates via deep links.

Map

View tasks and teammates on the map. Task markers show status colors so you can see progress at a glance.

• See colleague locations in real-time.
• View heatmaps showing location history.
• Long-tap to add a task at any location.
• Drag and drop tasks on the map to change their location.

Geo Areas

Create polygon geo-zones on the map to define work areas, job sites, or restricted zones. Track who enters and exits these areas.

• View presence history for each zone.
• See visit duration — how long each person spent in the area.

3D BIM Viewer

Upload 3D building models (IFC files) to your geo areas and view them directly in the app. Create tasks pinned to exact 3D locations in the model.

Uploading a BIM Model

1. Open a geo area detail screen.
2. Tap Upload BIM Model (visible to Managers and Admins only).
3. Select an .ifc file (up to 200 MB).
4. Wait for the conversion to complete — you'll get a push notification when ready.

Viewing the 3D Model

1. Tap View BIM Model on the geo area detail screen.
2. The 3D viewer opens full-screen with the building model.
3. Pinch to zoom, drag to orbit, two-finger drag to pan.

Toolbar Modes

• Navigate — orbit and zoom the model (default).
• Select — tap elements to see their type and name.
• Measure — tap two points to measure distance in meters.
• Section — tap a surface to create a cutting plane (see inside walls).
• Create Task — tap on the model to pin a new task at that 3D location.
• Walk — first-person walkthrough mode (use the on-screen controls to move).

Creating Tasks from the 3D Model

• Switch to Create Task mode and tap on a surface, or long-press anywhere on the model in any mode.
• A pin drops at the tap point and the task creation form opens.
• Fill in the task details and submit — the pin appears in the 3D view.
• A screenshot of the 3D view is automatically attached to the task.

Viewing Task Pins

• Existing tasks pinned to the model appear as colored markers (blue = open, orange = in progress, green = done).
• Tap a marker to see the task details and navigate to the exact viewpoint where it was created.
• Use the Filter button to show only specific tasks (by owner, assignee, status, or priority). The filter icon highlights when active.
• Toggle markers on/off with the Tasks button.

Additional Tools

• Floors — isolate individual building storeys.
• Types — show/hide element categories (walls, doors, pipes, etc.).
• Home — reset camera to the initial overview.

AR Navigation

Tap the AR camera icon on a task or teammate to see their location in augmented reality. Follow the AR arrow to navigate to the destination.

AI Agents

Add AI agents, drones, or robots to your company. They appear on the map with a bot badge and can be assigned to projects just like people.

Creating an Agent

Only Admins can create agents. Go to Settings → Team → Add Team Member → Create Agent.

After creation you receive credentials: Client ID, Client Secret, and Token Endpoint. Save them immediately — the secret is shown only once.

Managing Agents

• Regenerate the secret or remove the agent from its detail screen.
• Assign agents to projects just like regular team members.

What Agents Can Do

• Manage tasks — create, update, and complete work items.
• Comment on tasks — add threaded comments with @mentions and file attachments.
• Chat — send and receive direct messages and participate in task conversations.
• Manage projects — create, update, and archive projects.
• Monitor geo areas — track zone activity.
• Manage files — upload, download, and list company files.
• Report via MCP tools — integrate with AI workflows.

Telegram Bot (Mira)

Manage tasks directly from Telegram without opening the app. Find @MiraDsBot in Telegram and link your account.

• 📋 My Tasks — view your assigned tasks with summary and pagination.
• ➕ New Task — create a task in 2–3 taps.
• 🔍 Search — find tasks by text or recently viewed.
• Filters — by status, project, "assigned to me" / "created by me".
• Task actions — change status, priority, reassign, set GPS, attach files.
• 💬 Comments — view, add, and paginate through comments.
• 📂 View Files — photos as albums, documents as downloads.
• 🗺 Task Map — /map opens an interactive task map.
• 👥 Team Map — /team shows team locations.
• 🎙 Voice & Text AI — voice or text to create/edit/search tasks, set reminders. Say "Undo" to revert.
• 🔔 Status Notifications — Telegram message on task status change. Toggle with /notifications.

Available in English, Russian, and Bulgarian. The bot detects your Telegram language automatically.

Roles & Permissions

Every team member has one of four roles. Each role determines what they can see and do.

Project visibility: Admins and Managers see all projects. Specialists and Observers see public projects and private projects where they are members.

Settings

Configure the app to fit your needs. Available settings include:

• Profile — name, phone, email, avatar.
• Company — company name, logo.
• Team — invite members, assign roles, remove members.
• Subscription — view and manage your plan.
• Location tracking — set a schedule for sharing your location.
• Audit log — view company activity history (Admin only).
• File management — manage uploaded files and storage.
• Telegram — link your Telegram account.
• Map provider — choose Google Maps or Yandex Maps.

On the web app, you can log in with Yandex (OAuth) as an alternative to phone/SMS.

Push Notifications

Get notified when something important happens. You'll receive a push notification when:

• A task's status changes.
• You are assigned a new task.
• Someone comments on your task.
• You are @mentioned in a task comment.
• You receive a new chat message.
• Your BIM model conversion completes (ready or failed).

Manage notification preferences in Settings.

Deep Links

Share tasks, projects, and geo areas with teammates by tapping the share icon. The link opens directly in the app (Android) or web browser.
